ECS POLICY AND PROCEDURE GUIDELINES

This document contains information that pertains to ECS policies and procedures. It gives general information on how we conduct our business. It also outlines the client’s responsibilities in relations to their dealings with ECS.

We are a fully registered business that has been operating since 2006. We are public and product liability insured.

At ECS, we comply with the following Acts to ensure we maintain good practice and a high quality of service:
• The Chemical Regulation 2002.
• Control of Substances Hazardous to Health (C.O.S.H.H)
• Dangerous Substances and Preparations Safety regulations
• Health and safety act 1974.
• Reporting of Injuries and Dangerous Occurrences Regulations (R.I.D.D.O.R)
• Confidentiality Act 1991.

ECS currently offers two types of contracts, both designed to cater for your specific needs as well as match with your allocated budget. With both types of contracts, we still seek to meet the client’s needs to the highest standard.
• ‘Contract only’ agreement
With this type of contract, all cleaning materials are to be provided by the client. This will in no effect reduce the standard of services provided by ECS.
P.S: Consumable cleaning items can also be provided to client opting for ‘contract only’ agreement at extra charge.

• Contract with supplies
This type of contract saves you the hassle to have to worry about supplying any cleaning materials. We take care of everything. We provide all consumable cleaning items (bin liners, soaps, toilet rolls, waste sacks, hoover, carpet cleaning equipment, etc…). These items can be included in the main invoice or on a separate invoice as requested by the client.
We also invest in the best cleaning equipment in order to continually enhance the quality of our services. Also, our electric equipment is frequently assessed to ensure it meets the standards required by the current regulations.

• Invoice(s) for any service provided will be sent directly to the client and payment must be received within 28 days from the date on which the invoice was written (unless otherwise specified on the contract). Failure to keep up with payments required will result in the suspension of service provided and further actions will be taken to recover the amount due.

• There is a 48hrs notice required for any cancellation of job. Failure to abide by this rule will result in the client incurring a ‘late cancellation fee’

At ECS, we are environmentally aware. We are very mindful of the impact of businesses on the environment and we believe we can make a positive difference on the environment through our daily business activities. Therefore, we operate a ‘green cleaning’ policy which involves the usage of natural (non-chemically based or Eco-Friendly) cleaning products.
Chemicals are only used at special request by our clients.

Our staff is made up of friendly yet professional, reliable and well trained individuals who always strive to maintain the high standard of service we seek to provide. We do not subcontract any of our work.
All our staff are well vetted, covered under employer liability insurance as required by regulation 5 of the Employer’s Liability Regulations 1998 and are all entitled to work in the U.K.
ECS staff are fully conversant with the Health and Safety Regulations, RIDDOR, and substances handling polices and they regularly receive talks and in-house training sessions to update their knowledge and skills of major policies.

Continuous supervision is performed to ensure the standard of service provided regularly reflect the standard of excellence we seek to promote.
Also constant inspections are frequently carried out in our client’s premises for quality control.
